IT Outsourcing for Small and Medium-Sized Businesses in Geneva

IT outsourcing for a company involves entrusting the management of its IT infrastructure to external service providers.

This may include your infrastructure, applications, or customer data. A contract is drawn up based on your needs.

What isIT outsourcing?

IT outsourcing involves entrusting the management of your IT assets (infrastructure, applications, data) to an external service provider under a contract that precisely defines the scope of services provided.

For a Geneva-based small business, this means, in practical terms: no need to hire a full-time IT specialist, no need to keep track of security updates yourself, and no more unpleasant surprises regarding IT costs at the end of the year.

Outsourcing can be full or partial. There is also a distinction between IT outsourcing (reactive—we step in when you have a problem) and managed services (proactive—we detect and correct issues before they become problems). Details on both approaches are available here.

What this means for an SME with 10 to 50 employees:

  • Predictable IT costs (monthly flat fee rather than hardware investment + salaries)

  • Access to a multidisciplinary team (networking, security, cloud, telephony) without having to hire for each specific skill

  • Response times guaranteed by contract (SLA), not at the discretion of a single IT employee who may be on vacation or sick

Do you need one-time troubleshooting rather than an outsourcing contract?

Outsourcing vs. an In-House Team: Which Should an SME Choose?

This issue arises most often in companies with between 5 and 50 employees: large enough to have real IT needs, but not large enough to justify a full-time in-house team.

  In-house team Outsourcing
Cost Salary(ies) + payroll taxes + continuing education + equipment; fixed even during slow periods Monthly flat rate adjusted based on actual usage
Coverage Relies on one or two people—absence, illness, or departure = skills gap Multidisciplinary team; continuity guaranteed by contract
Responsiveness Fast if the person is available, none otherwise Contractual SLA, guaranteed response time
Expertise Limited to the skills of the person(s) currently in the role Access to specialists in networking, security, cloud computing, and telephony
Scalability Recruitment required with each increase in workload Contract adjustment, no hiring

When should you keep an in-house team? If you have very specific and recurring IT needs that warrant a daily on-site presence, or if the size of your organization (100+ workstations) makes the cost of a dedicated team competitive with that of an outsourced contract.

When should you outsource? In the vast majority of cases for an SME in French-speaking Switzerland, the cost of a full-time in-house IT position (including payroll taxes) far exceeds that of an IT outsourcing or managed services contract covering the entire IT infrastructure.

Familiarize yourself with IT outsourcing

To help you better understand the key terms that encompass and explain your IT outsourcing, here are a few clarifications.

IT infrastructure refers to your entire electronic environment. It includes hardware such as computers, printers, and phones; network components such as firewalls and routers; office productivity and CRM software; and peripherals (external hard drives, mice, etc.).

Managed Services represent a service offering based on a continuous, proactive approach. They replace part of your on-premises infrastructure. Managed Services constitute a form of partial outsourcing and are governed contractually by SLAs.

The SLA represents a formal agreement between you and the selected service provider. It defines all the services provided to you as well as the resources available within your company.

This refers to on-premises IT infrastructure—that is, infrastructure located on your premises. It may consist of a local server or software installed on-site and is therefore distinct from cloud-based solutions. These on-premises solutions are becoming obsolete due to the cost and lack of security associated with this type of overly independent setup.

When your company “rents” software from the cloud at a fixed price from a provider. The pricing is based on the number of users. The software is used in a web browser. This eliminates the need to install the software locally, and the provider handles all updates and troubleshooting.

A cloud computing service that allows your company to outsource the hosting of software and hardware tools used for application development. Fewer resources to manage in-house.

When your company leases resources “as a service.” The three most commonly used models are: software (SaaS), such as Microsoft 365; infrastructure (IaaS), in the form of virtual servers; and platforms (PaaS), such as a database.

One of the main components of cloud computing (along with SaaS, PaaS, etc.). It allows users to access virtualized computing resources via the Internet or another connection. IaaS providers are also responsible for hosting applications and managing tasks such as system maintenance, backups, and disaster recovery planning.

When your company outsources the entire operation of its IT infrastructure to a provider, you no longer have to worry about anything. In the event of problems or changes—such as staff transfers or new user accounts—the provider’s hotline is the first point of contact. The operation of your IT infrastructure and hardware replacement are governed by a contract. The scope of services and response times are determined by an SLA. In the case of full outsourcing, a flat rate per workstation is typically charged for the various services, which makes IT costs transparent.
There are three main categories of outsourcing based on the service provider’s location: in the case of onshore outsourcing, the client and the service provider are located in the same country, for example, in Switzerland. Nearshore outsourcing means that the IT service provider is located in a neighboring country, whereas in the case of offshore outsourcing, it is located in a distant country. Depending on the type, the client may face challenges such as time zone differences, cultural differences, varying data protection regulations, or language barriers.

Or partial outsourcing. Instead of outsourcing your entire IT operation or all areas and responsibilities, you can also entrust individual tasks or processes to a service provider. For example: sending invoices, collecting payments.
